How Much Food, Fuel, and Water Should You Budget for a Group Trip?
A simple planning framework for dividing shared supplies and avoiding both shortages and unnecessary pack weight.
A group trip can make shared gear and meals more efficient, but it also makes shortages harder to fix. One person may pack lightly, another may assume someone else brought the stove fuel, and suddenly dinner depends on a half-full canister and a questionable handful of snacks.
The solution isn't to guess a total amount and divide it evenly. I find it more reliable to plan food, fuel, and water separately, then assign clear responsibility for each shared item. That gives you a useful buffer without asking everyone to carry the same weight.
Start with people, days, and conditions
Before estimating supplies, write down four things:
- The number of people eating and drinking from the shared supplies
- The number of breakfasts, lunches, dinners, and trail snacks required
- The expected temperature, elevation, distance, and effort level
- Whether water will be carried, treated along the way, or collected from known sources
Count partial days carefully. A trip that begins after lunch and ends before breakfast may need only one dinner and some snacks, while a full day on the trail requires all meals and more drinking water.
For a group of six on a three-night trip, for example, you may need three breakfasts, four lunches, three dinners, and four days of snacks—depending on the departure and return times. Writing the meals out prevents the common mistake of counting “four days” without deciding what that actually means.
I also separate the planned amount from the contingency amount. The plan covers normal consumption; the contingency covers delays, damaged food, a slower pace, or a longer route. It should be deliberate rather than an unspecified extra bag of everything.
Check the route before you pack: Confirm current water availability, fire restrictions, campsite rules, and any food-storage requirements for the area you're visiting. Sources can dry up, closures can change, and regulations vary between parks and jurisdictions.
Budgeting group food
Use calories as a planning tool, not a promise
A useful starting point for adults is roughly 2,500 to 4,000 calories per person per full hiking day. That is a broad planning range, not a medical or nutritional prescription. Cold weather, heavy packs, long climbs, larger bodies, individual appetites, and strenuous travel can all push requirements higher.
If you know what people normally eat on active days, use that information. A person who routinely needs more food at home shouldn't be expected to thrive on the same portion as someone with a smaller appetite.
For a simple estimate:
people × full trail days × planned calories per person = base food energy
Then add a modest reserve. Around 10 to 15 per cent may be reasonable for a well-understood route with stable conditions; a remote, cold, or weather-sensitive trip deserves more flexibility. The reserve doesn't need to be a duplicate dinner for every person. Dense snacks, instant meals, tortillas, nut butter, drink mixes, or other foods that keep well can provide useful insurance.
Plan by meal and by person
A meal list is easier to audit than a pile of packages. For each meal, record:
- The food and package size
- The number of servings it provides in real trail conditions
- Preparation requirements
- Calories and protein, if those matter to your group
- Weight after removing unnecessary packaging
For example, a dinner plan might include one dehydrated meal or pasta portion per person, plus a shared sauce or topping. If a package claims to serve two, check whether that means two small side portions or two hungry hikers after a long climb. Manufacturer serving sizes are often not the same as backcountry portions.
A practical food split is:
- Breakfast: quick, familiar food that works in the morning cold
- Lunch: items that don't require cooking or a long stop
- Dinner: a warmer, more substantial meal if the group wants to cook
- Snacks: frequent, accessible calories for the trail
- Emergency reserve: compact food kept separate from the regular meal plan
Don't forget cooking oil, powdered milk, drink mix, coffee, tea, condiments, and small ingredients. They may weigh little individually but can become a surprisingly large shared-food category.
Account for preferences and restrictions early
Ask about allergies, intolerances, religious restrictions, vegetarian or vegan requirements, and foods people simply won't eat. A meal that stays untouched isn't a successful weight-saving strategy.
Have each person bring or confirm their own personal snacks if that makes the group easier to manage. Shared dinners can remain communal while high-calorie trail food stays individual. Label ingredients and avoid relying on a last-minute swap if someone discovers the meal contains an allergen.
Estimating stove fuel
Fuel planning depends more on the stove system and cooking habits than on the number of meals alone. Check the stove manufacturer's guidance, then compare it with your actual menu and conditions.
The main questions are:
- How many times will the stove be lit?
- Will you boil water only, or simmer and cook for longer?
- How much water must be heated at each meal?
- Will the group melt snow or heat extra water for drinks?
- Will cold, wind, altitude, or a partially sheltered campsite reduce efficiency?
For boil-only meals, calculate the total water to heat, then use the stove's stated fuel consumption as a starting point. For meals that simmer, add a meaningful allowance. Wind screens, lids, sheltered cooking areas, clean cookware, and avoiding unnecessary reheating can reduce fuel use, but they don't eliminate the need for a reserve.
A simple worksheet might look like this:
- Breakfast boils: 2
- Drink or hot-water stops: 3
- Dinner boils: 3
- Extra cooking or melting: 2
- Total planned heating events: 10
Multiply the expected fuel use for each type of event, then add a buffer. If you haven't tested the stove with the exact pot, fuel type, menu, and conditions, be more conservative. A group should never arrive at its final dinner with fuel calculated down to the last gram.
Keep all fuel with the person responsible for the stove system. That person should know which canister or bottle is full, how much remains, and whether the connector or pump has been checked. Carrying several partly used canisters without a plan makes the inventory harder to understand.
Never use a fuel-burning stove inside a tent or other enclosed sleeping space. Carbon monoxide can build up without an obvious smell, and fire risk is also higher. Follow the stove and fuel manufacturer's instructions for operation, transport, and storage.
Working out water needs
Water is both a consumption item and a route-planning problem. The amount needed depends on heat, exertion, humidity, altitude, individual needs, and the availability and reliability of sources.
For a first estimate, many hikers begin with roughly 2 to 4 litres per person for drinking over a full hiking day, then adjust for conditions and personal experience. Cooking water is additional. This range is only a starting point: hot, exposed terrain may require more, while a cool route with reliable sources may require less carried water.
Use this equation for carried water:
drinking water + cooking water + source uncertainty reserve = water to carry
Don't count a source as guaranteed simply because it appears on an old map or trip report. A seasonal creek may be dry, a spring may be inaccessible, or a source may require treatment. If the next dependable source is far away, carry enough to reach it rather than planning around the nearest uncertain one.
Water is heavy—one litre weighs about one kilogram before the container is included—so overpacking it has a noticeable effect on the whole group. At the same time, reducing water weight should never mean gambling on an unverified source or skipping treatment.
Bring enough capacity for the longest dry stretch, not merely enough for the next stop. Distribute containers among several people so one leak or dropped pack doesn't remove the group's entire supply. Each person should also know how to use the filter, purifier, tablets, or boiling method being carried.
Divide the load fairly
Equal ownership doesn't always mean equal weight. A stronger hiker may carry the stove and fuel, while someone else carries the group shelter, water-treatment kit, or food bag. The goal is a sensible total load that respects injuries, fitness, experience, and personal gear.
A simple shared-supply list can include:

Weigh the shared supplies after packaging. Then adjust assignments based on total pack weight, not just the number of bags. Put each person's food in a clearly marked bag, and keep the emergency reserve separate so it doesn't quietly disappear during the first afternoon.
Do a final group check
The day before departure, have everyone confirm the same short list:
- Number of people and actual meal count
- Food restrictions and individual snacks
- Stove, pot, lighter, and fuel compatibility
- Fuel quantity and contingency
- Water capacity and treatment method
- Current route, water sources, closures, and weather
- Who carries each shared item
If the route changes, recalculate supplies rather than assuming the original plan still works. A longer approach, an unexpected camp night, or a closed water source can affect all three categories at once.
Good group planning is less about finding a perfect number than making assumptions visible. Count the meals, test the stove, identify the dry stretches, and give every shared item a named owner. With that small amount of structure, you can carry a useful margin without turning the trip into a supply-hauling exercise.
